RIMARY RESPONSIBILITIES

  • Answer telephones and transfer to appropriate staff member.
  • Meet and greet clients and visitors.
  • Create and modify documents using Microsoft Office.
  • Setup and coordinate meetings and conferences.
  • Prepare correspondence, reports, and materials for publications and presentations.
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Maintain hard copy and electronic filing system.
  • Sign for and distribute UPS/Fed Ex/Airborne packages.
  • Research, price, and purchase office furniture and supplies.
  • Coordinate and maintain records for staff office space, phones, parking, P.C inventory and office keys. Apply to pay the office rent and phone bill. 
  • Maintain and distribute staff weekly schedules.
  • Maintain President’s calendar. Prepare and maintain President’s expense report.
  • Support staff in assigned project based work.
  • Provide office orientation for new employees.
  • Setup accommodation and entertainment arrangements for company visitors.
  • Setup staff’s travel arrangements.
  • Other duties as assigned.

KNOWLEDGE AND SKILL REQUIREMENTS

  1. Experiences in Microsoft Office
  2. Strong verbal and written communication skills and the ability to type 50 wpm.
  3. High school graduate or Associate Degree with 3 + years of experiences
  4. Billingual (English and Chinese)
